Position Summary
Reporting to Quality and Food Safety Manager; the QA Doc Specialist will support Quality, Food Safety and Technical compliance through cross functional interaction internally and through direct contact and problem solving with Vendors and Procurement. QA Doc Specialist will be responsible for assisting the QFS Manager and QFS Supervisor in daily assigned duties. Individual must communicate all deficiencies with management and plant personnel. Advocate for quality, safety, and efficiency within the plant.
The ideal candidate will have a strong food safety mindset, be familiar with regulatory compliance at the vendor level and its impact on customer quality, highly organized, with advanced capabilities in information systems.
Position Responsibilities
- Understand and oversee supplier connections with follow-up within portal.
- Request and update supplier documents and connections if/when a supplier fails to provide requested information.
- Review supplier documentation for compliance to ofi food safety and quality expectations.
- Complete annual supplier verification checklists, confirming expectations have been met and the appropriate Procurement representative is notified with results.
- Review overall performance of each supplier (i.e. delivery time, number of complaints, certification status) and assign a scorecard for each. Maintain statistics for each supplier and report the high and low performers to Senior Management.
- Update the Raw Material Hazard Analysis to include hazards identified by each supplier within their food safety program. Update COA requirements according to the level of risk.
- Follow-up on Supplier Corrective Action reports if/when a supplier is charged with a non-conformance.
- Transfer documents into Trace Gains as needed if/when a supplier is unable or unwilling to use the portal.
- Observe and evaluate processes to make decisions on issues relating to quality program adherence and improvement.
- Interface with Technical Services team to review supplier matches and approval samples.
- Complete supplier comparison documents. Provide review findings to management and request missing information from suppliers.
- Oversee Foreign Supplier Verification system and ensure supplier criteria remains up to date with FDA requirements within the ofi food safety system.
- Research food fraud incidences related to the ofi supply chain and report them to the Technical Writer for updates in the ingredient specifications.
- Review new ingredient specifications for compliance against supplier information.
- Develop and submit weekly reports to ofi management.
- Ability to work independently with little to no supervision and as a member of the team.
- Assist in developing SOP ’s policies, W.I. policies and programs and production paperwork.
- Manage the Document Control System and maintain all documents to include tracking managing document processes and tracking of procedure training.
- Assist in Food Safety and Quality Training, either onsite or offsite, as directed by the QFS Supervisor and QFS Manager.
- Update and create product specifications for all products such as work in progress and finished goods.
- Must be able to review documentation and ensure it is documented appropriately and adequately.
- Assist in maintaining the Food Safety Plan.
- Handle customer requests such as documentation, samples, etc.
- Perform internal facility audits such as Good Manufacturing Practices (GMP), Glass, Brittle & Plastic, BRC, etc. Individual must be able to track non-conformities and their respective corrective actions.
- Assist in external audits and coordinate any follow-up actions required.
- Track all quality holds, prepare deviation paperwork, and other documents for the FSQ Supervisor and FSQ Manager
- Track sanitation compliance as well as Pest Control compliance.
- Must adhere to the GMP’s, GLP’s and all other quality programs.
- Wear PPE when required and strictly adhere to all safety procedures.
- Responsible for ensuring work area is clean and organized.

Position Requirements
- Bachelor’s degree in Food Science or Related Science Degree, preferred.
- High School Diploma graduate or equivalent required.
- Four (4) years’ Experience in Document Control, Food Manufacturing, GMPs and HACCP are highly preferred.
- Minimum one (1) year experience in quality required.
- Strong working knowledge of raw materials, quality assurance principles, packaging, conversion, and customer centric applications.
- Strong teamwork, problem solving and presentation skills.
- Advanced PC skills including, but not limited to: Word, Excel, and PowerPoint.
- Experience with SAP, customer interface systems, is preferred.
- Excellent written and verbal communication, conflict resolution and interpersonal skills are required.
- Ability to make sound, independent decisions based on functional expertise and experience is required.
- Highly motivated individual with ability to work in a fast-paced environment.
- Ability to deal effectively with external and internal customers.
- Good technical understanding of manufactured nuts.
- Possesses a high degree of initiative and flexibility.
