Position Summary
 
Reporting to the plant Manager, the Operations Support Specialist will provide assistance to the members of the Operation Management staff.
 
The ideal candidate will require an energetic, self-motivated, experienced individual with a strong attention to detail and exceptional work ethic.  The job will be the point person of contact for vendors and employees and must provide excellent customer service in a friendly and professional manner.  Duties include clerical assistance, administrative support, and scheduling duties.
 
Position Responsibilities
 
  • Meets and directs employees and visitors to appropriate associates.
  • Responsible for maintaining reception area and ensuring proper procedures are followed.
  • Primary telephone coverage.
  • Monitors front gate and grants access to visitors as necessary.
  • Creates, edits, and maintains employee scheduling in software programs (ADP) and/or Excel.
  • Assists HR function with data entry, filing and other related tasks.
  • Maintains accounts payable filing system and other general office filing.
  • Provides general office support including the maintenance of office equipment including copier/fax, telephone; pick up and processing of mail distribution and coordinates package shipments (UPS/Fed Ex).
  • Monitors, orders, receives, and stocks office supplies.
  • Invoice preparation and auditing for signatures, PO numbers, account codes as needed
  • Ensure all on site vendors have appropriate COIs on file.
  • Contact vendors as required to place orders, coordinate returns, invoice issues, etc.
  • Assists management staff with other related clerical duties such as photocopying, faxing, filing, ordering, laminating, data entry, etc.
  • Coordinates plant events (orientation, celebrations, luncheons, etc.).
  • Maintains security badge inventory.
  • Ensure a safe, healthy work environment by following all safety, health, and environmental policies, procedures and regulations per the company programs and practices.
  • This position is not limited to those duties in the job description. Duties and responsibilities can be changed, expanded, reduced, or deleted to meet the business needs of the organization. 
  • Perform other duties as assigned.
 
 
Position Requirements
 
  • High School Diploma or Equivalent.  College courses in Accounting, Business Administration, or related helpful
  • 3-5 years computerized office administration experience
  • Computer –Must have a high level of proficiency in all Microsoft Office programs, specifically in Microsoft Word and Excel.
  • SAP experience helpful.
  • Exceptional typing and 10-key skills.
  • Bi-Lingual (Spanish) preferred.
  • Reporting Skills, Administrative Writing Skills, Managing Processes, Organization Skills, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication, must be able to maintain confidentiality.
  • Daily and punctual attendance is an essential function of this position.
